Managing Surveys

At sr4 Partners we have decided to use SurveyGizmo as our go-to respondent data capture tool. All sr4 team members should follow a few simple guidelines when adminstering a survey (poll, quiz, etc…).

Automate survey closure

Whenever possible, configure your survey to automatically close at a specific date and time. This helps to reduce clutter in the account interface.

  1. Go to Advanced > General.
  2. Scroll down and enter the date and time that you want the survey to close in the Automatically Close Survey field. Format is YYYY-MM-DD HH:MM:SS e.g., 2017-11-29 23:59:59
  3. Click Save Settings in your account's time zone. This field uses 24 hour time so 11:59pm should be entered as 23:59.

Automate data export

Configure your survey to automatically email data export links on a regular schedule while the survey is open.

  1. Go to Results > Exports.
  2. Create a CSV/Excel export
  3. Go to the Share tab in report settings
  4. Add email address(es) and include admin@sr4partners.com
  5. The From: should read “sr4 Surveys”
  6. The Subject: should read “[Backup] {name of survey}”
  7. Customize Message however you would like
  8. Set recurring delivery details
  9. Click Save

Manually archive data when survey closes

When your survey closes, be sure to download a final copy of the data and store in Box within your client/project directories.

  1. Go to Results > Exports.
  2. Click CSV/Excel
  3. Click Download All Data Now
  4. Add the resulting file in Box
